Privacy Policy
Kingston East Neighbourhood Group Inc. (K.E.N.G.) abides by the National Privacy Principles established under the Privacy Amendment (Private Sector) Act, 2000. With new privacy laws in effect on 21 December, 2001, this policy explains what information we collect from you, how we collect and use that information, and how your privacy is safeguarded.
In this statement, ‘K.E.N.G.’, ‘we’, ’our’, and ‘us’ means Kingston East Neighbourhood Group Inc. services and its related programs.
Information We Collect
K.E.N.G. needs to collect personal information from you for legislative, service delivery and work related purposes. We collect information for this purpose and may not be able to employ you or provide a service to you if we don’t have this information.
We will not collect, use or disclose information about your racial, or ethnic origin, political opinions, memberships of a political association, religious beliefs or affiliations, philosophical beliefs, memberships of a professional or trade association or trade union, sexual preferences or practices, criminal records or health information unless you have given us express consent to do so or unless it is required by law.
Your Tax File Number (TFN) is governed by special legislation and is also protected when you provide it to us.
How We Collect Information
Kingston East Neighbourhood Group Inc collects personal information when you become an employee of the organisation, enrol as a volunteer, are a student, are on work experience, are a member of a management committee, are a contract worker, when you give us information by telephone or internet or via a third party or when you receive services and support from us.
Use and Disclosure of Information
The information you give us is strictly confidential. We will not reveal, disclose, sell, distribute, rent, license, share or pass your information to third parties, other than is required by law under strict confidentiality guidelines. Disclosure to service provide -such as fund administrators may be necessary for you to receive services from us.
Generally, the information you provide to K.E.N.G. is used to:

Ensure that employees, volunteers, students, contract workers, management committee members receive sound advice in relation to you personal situation; Ensure that our support workers may suggest the best kind of support and services for you in accordance with your requests and requirements.

Kingston East Neighbourhood Group Inc. may also use your personal information to communicate with you about your support services and discuss with you about new strategies and services that may be beneficial for you. While law requires some communications, we will remove your name from any identifying information unless you direct us to do otherwise.
Storage of Personal Information
Your personal information is held in your private employee or client file and may also be held in a computer database. We will seek to ensue that the personal information collected and held by us is protected from misuse, loss, unauthorised access, modification or disclosure.
After hours access to our premises is controlled by security passes. All computer-based information is protected with passwords and data is backed up each evening and stored securely in fireproof filing cabinets and some administrative data is stored off site. In the event that you cease to be an employee or a client, any personal information which we hold about you will be maintained in a secure offsite storage facility, and destroyed after an appropriate period of time that complies with legislative and professional requirements (usually 7-10 yrs).
Access to your Personal Information
Under the National Privacy Principles you are generally entitled to access the information we hold about you. Where you are entitled to access, the time we require to give you access will depend on the type of information requested. If we can, we will answer your questions immediately. We will also try to answer you in the same way that you ask for example: if you telephone to ask for the information we will, if practical, give you that information over the telephone. We will generally respond to a written request in writing. Sometimes, we will ask that you put your request in writing, for example, where you want copies of material or access to older information or files which are not current or it is necessary for us to retain a record of your request and/or to confirm your identity.
What if some of the Information K.E.N.G. holds is wrong?
Please inform us at your earliest convenience. We want our records to be accurate, complete and up to date. Unless we disagree with you about the accuracy or completeness of a record, we will generally correct it on request, (or suggest alternative arrangement for updating our records). If we disagree with you, we will give you our reasons.
How do I make further enquiries or complain about a Breach of Privacy?
If you require information about the way K.E.N.G. manages personal information or wish to make a complaint about a breach of your privacy, please contact K.E.N.G. Management and ask to speak to the Centre Manager.
